Here is how a smooth preschool Photo Day is planned and executed.
What Happens After Booking a Preschool Photo Day Photographer
Once a school decides to move forward, the planning process should be simple and clearly guided.
After booking, I send a link to schedule a 20-minute call where I walk through how Photo Day works and answer any questions. Once the date is confirmed, I send a contract to secure the Photo Day (or multiple dates for larger schools).
From there, schools receive everything they need:
A director guide outlining how to prepare for Photo Day
An assistant guide for the staff member helping on the day
Fully written parent emails ready to send
A link to a webpage that introduces the process and prepares families

How Parent Communication Is Handled
Clear communication with parents is one of the most important parts of a successful Photo Day.
Schools send a series of emails that are already written and ready to go:
An introduction email with a link to a Photo Day information page
Two reminder emails with guidance on what to wear
A post–Photo Day email explaining what to expect next
A final email when the gallery is ready
Parents are strongly encouraged to contact me directly with any questions, which removes the need for schools to manage any kind of support.
Once parents access the gallery, they receive a few automated reminders directly through the platform.
What Schools Need to Prepare Before Photo Day
Preparation should be minimal and clearly defined.
A week before Photo Day, I will request:
A student roster (for the assistant and I to refer to during Photo Day)
A space for the session (ideally a minimum 8×8 feet, with a window if available)
I also provide a simple Photo Day Poster for the school to print and display as a reminder for families.
How Preschool Picture Day Actually Runs
On Photo Day, the goal is to keep the process calm, efficient, and predictable.
I arrive 30 minutes early to set up lighting and backdrop, and to walk through the flow with the staff member assisting that day.
The setup is intentionally simple and consistent:
One backdrop
One lighting setup
No complicated equipment or transitions

How Students Move Through the Portrait Process
One of the most important elements of a smooth Photo Day is student flow.
Instead of long lines, children are brought in small groups:
3–4 children at a time for younger ages
5–6 children for older children
Children wait calmly at a table (often drawing) while I photograph each child individually.
The assistant plays a key role:
Brings each group in
Writes each child’s name on a card and sends kids over to me one by one
Tracks attendance and notes absences on the roster
Each child brings their name card to me, I photograph it for organization, then move into their portrait.

What Happens During Each Portrait
Portraits are quick, but not rushed.
Each child is photographed in about one to two minutes, with time for natural interaction.
I don’t force poses or smiles. Instead, I engage with children in simple, playful ways:
Asking easy questions (“What did you eat this morning?”)
Making unexpected jokes (“I had worms for breakfast!”)
Giving small prompts (“Can you find the colors in the camera?”)
For children who are more reserved, I adapt — sometimes slowing down, sometimes adding movement (like a small jump) to help them relax.

Sibling and Class Photos
Sibling photos are built into the flow and typically take about three minutes.
Older siblings are brought in together with younger ones to avoid disrupting the schedule.
Class photos take about 5–10 minutes, depending on how quickly children are guided into position.
They can happen:
At the beginning of the day (if everyone is present)
Or at the end (if children arrive gradually)

How Long Preschool Picture Day Takes
For most Bay Area preschools:
50–60 preschool students → about 3 hours total
Includes individual portraits, siblings, and class photos
Does not include Staff pictures, and set up / breakdown of my set up
Once the lighting is set (usually within the first 10 minutes with the first child), the rest of the day moves consistently.
What Happens After Photo Day
After Photo Day, the process continues without requiring extra work from the school.
The school sends a recap email to the school, then parents receive their gallery within 7–10 days.
From there:
Parents order prints (delivered to their home) or digital images
All ordering questions are handled directly by me
The school does not need to manage customer service
Parents have about 7–10 days to place their orders.
