Yearbook Files, Staff Portraits, and More: What Schools Receive From Picture Day
When schools evaluate Picture Day providers, the conversation often starts with the portraits themselves.
But for many directors and administrators, what happens after Picture Day is just as important.
Can the photographer provide yearbook files? Staff portraits? Class photos? Administrative resources that save the school time?
Here are some of the services schools often ask about.
Do You Provide Yearbook Files?
Yes.
Each school receives a dedicated folder containing yearbook-ready files, making them easy to download without having to sort through hundreds of gallery images.
I select one portrait per student for the yearbook based on expression, composition, and overall quality. If a school would prefer a different image for a particular student, I am always happy to make a swap, but I find that directors like the additonal service of their photographer making this choice for them.
Portrait files are delivered as 3x3 JPG files, and class photos are delivered as 5x7 JPG files.
Do You Create the Yearbook?
I do not create yearbooks, because every school approaches yearbook creation differently, often using different software, templates, or volunteer teams.
Rather than creating the yearbook itself, I provide the image files schools need so they can use the system that works best for them.
Are Staff Portraits Included?

As a former teacher myself, I know how valuable it is to have a professional portrait available when opportunities arise.
Each staff member receives one complimentary professional portrait, photographed either indoors or outdoors depending on the school’s preference.
Staff can use these images for:
School websites

Newsletters
Professional profiles
Do Teachers Receive Class Photos?
Yes.
Each teacher receives a complimentary 5x7 print of their class photo.
It's a small gesture, but one many teachers appreciate as a keepsake of the school year.
Do You Offer Staff Group Photos?
Yes! And these are my favorite and the staff loves them!
While not every school requests them, staff group photos can be arranged when schedules allow.
Schools most often use these images on their website, in marketing materials, and for community-building communications. I also gift these as 5×7 prints to teachers, along with Class Photos.
Do You Offer a Commission to the School?
This question sometimes comes up with larger schools.
Some school photography companies offer schools a percentage of parent sales. My approach is slightly different.
Rather than focusing primarily on a commission structure, I include services that directly benefit the school community, including yearbook files, staff portraits, staff group photos, and class photos for teachers.
That said, I’m always happy to discuss a school’s specific requests.
What Should Schools Expect Beyond Picture Day?
A professional Picture Day experience should do more than offer beautiful portraits and Class Photos to parents.
It should make life easier for administrators, support teachers, simplify yearbook preparation, and provide resources the school can use throughout the year.
